Write a data retention schedule that tells every record what happens next
A university shared research resource generates more than scientific data. It may hold requests, instrument files, method versions, quality records, billing evidence, access logs, consent-linked restrictions and delivery records. Clear English assigns each record class a trigger, minimum period, authoritative source, custodian, storage location, review route and lawful disposition.
Choose the route closest to your task, or read straight through for the complete system.
A shared research resource sits at a busy handoff. Researchers submit materials or data, instruments generate raw files, staff apply methods, quality records explain what happened, processed outputs are delivered and support may continue after the project ends. Without a retention schedule, “keep everything” creates cost and privacy risk, while “delete old files” can destroy evidence needed for reproducibility, participant protection, intellectual property, audit or dispute resolution.
Useful primary references include NIH data-management guidance, NIEHS guidance on Data Management and Sharing Plans, and current NIH intramural Guidelines for the Conduct of Research. These sources illustrate why policy, award, ethics, legal, repository and scientific needs must be reconciled. They do not automatically govern every university or facility.
English matters because retention instructions depend on precise nouns and clocks. “Project data: seven years” is incomplete. Which data? Seven years from what event? What if a publication, patent, investigation, participant withdrawal request, repository commitment or legal hold changes the route? Who can authorise destruction, and what evidence of destruction remains?
This article is educational, not legal, privacy, records-management, research-integrity, clinical, regulatory, intellectual-property or cybersecurity advice. The university’s records schedule, ethics approvals, contracts, funder rules, law and authorised specialists control.
Did You Know? NIH guidance does not create one universal retention period for every research record. NIH states that institutions may have additional policies for custody and retention, and researchers should consider repository, award, journal and other requirements. NIH intramural guidance contains specific periods for its own records, including different handling for intellectual property and historically significant material. The discovery is practical: a schedule must map applicable authorities to record classes instead of copying one attractive number across the facility.

The schedule should state which shared resource, systems, services and record sets it covers.
List the controlling university policy, research agreement, ethics condition, funder rule, law, repository commitment and professional standard that may affect retention.
A microscopy core schedule applies to booking, acquisition and image-delivery records but not to a collaborator’s independent analysis repository unless that responsibility is explicitly accepted.
What to check
- Name facility and systems
- List authoritative sources
- Define exclusions
- Assign schedule owner
A practical reading pass should preserve the nouns, verbs and conditions in this section. Nouns identify the document, actor, object, unit or control. Verbs show what was measured, allocated, offered, reviewed or authorised. Conditions reveal when the statement applies and what would change the decision. This grammar prevents a summary from sounding confident while losing the mechanism.
For the working paper, add a traceability row from source record to public sentence. Record who owns the source, its cut-off date, the calculation or classification step, the reviewer and the final table cell. Test name facility and systems and list authoritative sources before release. This makes later restatement and annual comparison manageable.
Boundary: A schedule cannot shorten a legally or contractually required period.
Learning transfer: Scope writing prevents an operational guide from silently becoming institutional policy.
Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.
Retention begins with classification, not a number.
Separate request and approval records, raw instrument data, processed data, metadata, method and software versions, quality records, delivery receipts, access logs, finance records, training evidence and communications where relevant.
A raw spectral file, a processed result table and an invoice may relate to one request but have different purposes, owners and retention authorities.
What to check
- Name record class
- Describe purpose
- Identify authoritative copy
- Link related classes

Record who owns the source, its cut-off date, the calculation or classification step, the reviewer and the final table cell. Test name record class and describe purpose before release. This makes later restatement and annual comparison manageable.
Boundary: Duplicated convenience copies should not be mistaken for the authoritative record.
Learning transfer: Classification improves comprehension by preventing one vague noun—data—from hiding many obligations.
Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.
A period needs a start event that staff can identify consistently.
Possible triggers include creation, final delivery, project closeout, publication, award close, equipment retirement, contract end, patent event or participant-related milestone. The schedule should name one and handle later events.
Five years after final delivery differs from five years after publication if analysis and publication take three more years.
What to check
- Write the trigger in full
- Name trigger evidence
- Handle multiple events
- Define unknown trigger

Record who owns the source, its cut-off date, the calculation or classification step, the reviewer and the final table cell. Test write the trigger in full and name trigger evidence before release. This makes later restatement and annual comparison manageable.
Boundary: A trigger must match the controlling authority; convenience does not override policy.
Learning transfer: Timeline language is operational mathematics: the starting point changes the end date.
Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.
The applicable period may be the longest or otherwise controlling requirement for a specific record, but that conclusion needs authorised interpretation.
Create a crosswalk showing the authority, record class, trigger, period, conditions and responsible reviewer. Resolve conflicts rather than averaging them.
An award record rule, research-data policy and patent hold touch the same dataset. The schedule routes the record to review instead of selecting the shortest period.
What to check
- Record each source
- Use current versions
- Mark conflicts
- Name decision authority

Record who owns the source, its cut-off date, the calculation or classification step, the reviewer and the final table cell. Test record each source and use current versions before release. This makes later restatement and annual comparison manageable.
Boundary: Only qualified university functions should resolve legal or policy conflicts.
Learning transfer: Evidence comparison teaches that multiple true rules can apply at once.
Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.
Local retention and public or controlled-access sharing are related but different decisions.
A repository may preserve and share data beyond a local operational copy. Conversely, a facility may retain quality evidence while deleting a convenience working file.
A dataset remains available in an approved repository after the core removes its delivery workspace copy. The schedule records both paths.
What to check
- Name repository copy
- Define local copy
- Record access conditions
- Prevent false equivalence

Record who owns the source, its cut-off date, the calculation or classification step, the reviewer and the final table cell. Test name repository copy and define local copy before release. This makes later restatement and annual comparison manageable.
Boundary: Repository policy and participant or consent conditions must be checked directly.
Learning transfer: This distinction helps students see that keeping, publishing and granting access are different verbs.
Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.
Retention should be limited and governed without erasing records needed for accountability or research integrity.
Map identifiers, coded links, participant restrictions, access roles, approved locations and review routes. State how withdrawal requests are evaluated under the consent and research record requirements.
A facility holds coded files but not the re-identification key. The schedule should say so and identify who controls decisions about linkage and deletion.
What to check
- Classify sensitivity
- Identify controller and custodian
- Record consent limits
- Use approved access

Test classify sensitivity and identify controller and custodian before release. This makes later restatement and annual comparison manageable.
Boundary: De-identification and coding do not guarantee zero re-identification risk.
Learning transfer: Information-flow English reveals who can connect which pieces.
Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.
Retention is useful only if records remain authentic, readable and retrievable.
Specify preferred formats, checksums or integrity controls, metadata, storage class, backup relationship, migration review and documentation of transformations.
A proprietary instrument format is retained with method metadata and a validated export where appropriate; migration does not silently replace the evidential original.
What to check
- Record file format
- Preserve provenance
- Plan obsolescence review
- Document migration

Boundary: Technical choices require local validation and may differ by instrument and discipline.
Learning transfer: Meaning survives when context and transformation history travel with the file.
Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.
Ownership, custody and responsibility may move from requester to facility to project team or repository.
The schedule should align with the data delivery note, service charter and closeout process so that each handoff has an accepted inventory, location and duty.
The resource delivers processed data and transfers the authoritative analysis copy to the project repository while retaining a time-limited support copy.
What to check
- Name custodian at each stage
- Record acceptance
- Define support copy
- Escalate unclaimed data

Record who owns the source, its cut-off date, the calculation or classification step, the reviewer and the final table cell. Test name custodian at each stage and record acceptance before release. This makes later restatement and annual comparison manageable.
Boundary: Transfer does not automatically transfer copyright, legal ownership or all obligations.
Learning transfer: Handoff language prevents “sent” from being confused with “accepted and governed”.
Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.
A hold pauses ordinary disposition when an investigation, litigation, audit, patent, safety matter or other authorised process requires preservation.
State who can issue and release a hold, how affected classes and copies are identified, and how routine deletion is suspended without broad informal hoarding.
A misconduct inquiry covers specified requests and instrument logs. The hold notice identifies scope and preserves related versions until authorised release.
What to check
- Name hold authority
- Identify affected records
- Suspend automated deletion
- Document release

This makes later restatement and annual comparison manageable.
Boundary: Hold details may be confidential. Staff should follow the authorised process.
Learning transfer: Exception writing shows how a general rule bends without disappearing.
Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.
The end of a retention period triggers review, not automatic deletion in every case.
Check for continuing scientific value, repository commitment, active project, unresolved issue, hold, historical significance and changed authority. Record the decision and approver.
A rare instrument dataset has continuing reference value and is transferred to an approved repository rather than destroyed.
What to check
- Confirm period expired
- Check exceptions
- Evaluate transfer
- Record authorisation

Record who owns the source, its cut-off date, the calculation or classification step, the reviewer and the final table cell. Test confirm period expired and check exceptions before release. This makes later restatement and annual comparison manageable.
Boundary: Appraisal decisions require institutional authority and should not be improvised by convenience.
Learning transfer: A decision gate turns time passage into accountable action.
Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.
Disposition may mean secure destruction, transfer, anonymisation, return or another authorised outcome.
The schedule should define method, responsible role, verification, inventory update and the minimal disposition record retained afterward. Backup and derived copies need an explicit route.
A project workspace is securely deleted after approved transfer; the resource retains a disposition log identifying class, range, authority, date and verifier—not the deleted content itself.
What to check
- Select authorised method
- Include replicas and backups
- Verify completion
- Retain disposition record

Test select authorised method and include replicas and backups before release. This makes later restatement and annual comparison manageable.
Boundary: No record should be destroyed outside the applicable schedule and hold process.
Learning transfer: Closure evidence lets the institution explain what happened without recreating the record.
Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.
How to build this kind of English before the job title arrives
Back to contentsStudents do not need professional authority to practise the underlying language. They can learn to define scope, annotate conditions, compare versions, rebuild a timeline, match a number to its unit and explain uncertainty without embarrassment. Parents can ask calm questions: What decision is this document supporting? Which sentence carries the strongest claim? What would make that claim false? Which source would you open next?
Use a three-pass routine. First, map the document: title, owner, audience, date, sections and decision. Second, trace one claim from source to conclusion. Third, explain the limit and next action. This routine strengthens comprehension, science, mathematics, humanities and workplace readiness because it turns English into an evidence tool.
A student should never imitate professional authority. The useful goal is to recognise when a text needs a qualified reviewer, current rule or official decision. Knowing when to pause is part of literacy.
A fictional imaging request creates a booking record, signed service terms, raw instrument files, processed images, a quality-control log and a delivery receipt. Writing “retain project data for seven years” hides the differences.
The team maps each class to purpose and authority. The delivery workspace copy may have a short support period after acceptance. Raw and processed research data follow the project and institutional plan. Quality records may follow the facility quality schedule. Financial records follow the university finance schedule. A patent hold or investigation suspends ordinary disposition for the affected set.
The final schedule names triggers and evidence: accepted delivery, award close, superseded method or equipment retirement. At each end date, an authorised review checks holds, repository transfer, historical value and continuing need. Only then does documented disposition occur.
A retention period is a sentence, not a number
The complete sentence names the record class, authoritative copy, trigger, minimum period, exception, reviewer and disposition. Remove any one of these and staff may keep the wrong copy, start the clock too soon or delete while an obligation continues.
When a project spans institutions or countries, do not invent one blended rule. Map where records and participants are located, which institution controls each copy, applicable agreements, ethics conditions, sponsor requirements and authorised transfer routes. The schedule may need separate rows for the same logical dataset in different custody contexts.
A request for deletion also needs classification. A working copy may be removable while an authoritative research, quality, financial or consent-related record requires retention. Check holds, participant commitments, repository status, published findings and institutional authority, then record the decision without retaining unnecessary content merely to prove that deletion was discussed.
The final schedule should be usable by a new staff member without oral folklore. Test sample dates, edge cases, inactive systems and one real closeout. If the result depends on asking the person who wrote the row, revise the trigger, authority or exception until the rule can travel safely.
Ten fields worth testing
For each class record: identifier, description, business and scientific purpose, authority, custodian, location, sensitivity, trigger, period, hold route, final review and disposition evidence. Pilot the schedule on one closed project before approval. If two staff members calculate different dates from the same row, the wording is not operational yet.
Automation needs guardrails
Automated deletion should use approved classifications and dates, generate review notices, respect holds and preserve auditable results. Automation makes a clear rule faster; it makes an unclear rule dangerous.
When a principal investigator leaves
Departure should not become an accidental deletion trigger. The resource and institution need a controlled route for custody, project ownership, successor access, repository transfer, outstanding publications, intellectual property, participant restrictions and unresolved billing or quality records. The schedule should point to the offboarding process and preserve the authoritative decision.
When an instrument is retired
Equipment retirement can make software, calibration context and proprietary formats harder to interpret. Before shutdown, inventory affected record classes, preserve method and configuration documentation, test readable exports where authorised, record validation and decide which original formats remain necessary. Retirement of hardware does not automatically retire the research record.
When storage is expensive
Cost is a legitimate planning factor but not an authority to delete. Classify value and obligation first, then choose approved storage tiers, compression, repository transfer or defensible disposition. Keep convenience copies, authoritative records and reproducibility packages distinct so savings do not erase evidence.
Parents and students can practise safely
Use school project files: draft, final submission, source notes, consented interview recording and shared copy. Ask which is authoritative, who may access it, when it is no longer needed and what should be retained as evidence.
Is there one standard research-data retention period?
No. Periods depend on jurisdiction, institution, record class, funder, contract, ethics, discipline, intellectual property and other conditions.
Is backup the same as retention?
No. Backup supports recovery; retention governs how long authoritative records and copies are kept and disposed of.
Should a core keep every raw file forever?
Not by default. The correct route depends on the applicable schedule, scientific value, agreements, cost, privacy and repository plan.
Can a repository copy outlive the facility copy?
Yes, when authorised. Local operational retention and repository preservation or sharing are distinct.
What happens during a legal or investigation hold?
Ordinary disposition for affected records is suspended until the authorised hold is released.
Who approves destruction?
The schedule should name the authorised role or process; individual convenience is not enough.
