Why English? | Writing a Research Study Delegation Log

eduKate Secondary small-group study for How Super Intelligence Works: Parameters and Weights.
WHY ENGLISH? · PRACTICAL READING AND WRITING

Make responsibility visible across people, activities and dates without turning delegation into a vague list of names

A research study delegation log records who is authorised by the investigator to perform which trial-related activities and during what period. It supports oversight, training and reconstruction of conduct. English matters because a broad phrase such as “study procedures” can hide activities that require different qualifications, approvals, access and supervision.

Choose the route closest to your task, or read straight through for the complete system.

People search for delegation of authority logs, clinical trial responsibility logs and study staff signature logs because one table has to connect names, tasks, training and time. A weak log proves only that people existed. A useful log shows the operational authority that applied on the day an activity occurred.

The log should match the protocol, site workflow, approvals and actual qualifications. It should distinguish delegation from employment, system access, training attendance and authorship. These records support one another but do not substitute for one another.

Entries should be made prospectively where required and maintained as responsibilities change. A late, backdated or over-broad entry can obscure who actually performed an activity and whether they were prepared. Corrections should remain traceable.

This article is educational guidance checked on 11 October 2026. Use the sponsor’s and institution’s current template and procedure. Professional licensing, PI-only decisions and local approval conditions may limit what can be delegated.

Did You Know? Singapore HSA’s current template page describes the delegation log as the record of persons or parties to whom the PI has delegated trial-related activities, and pairs it with a training log designed to show that site staff are appropriately qualified for those tasks. ICH E6(R3) also says delegated activities should be documented appropriately while the investigator retains overall responsibility for trial activities under their oversight.

CHAPTER 1 OF 11 · Define the activities

1. Start from the real activity map

Back to contents

Copying task numbers from an unrelated trial creates false precision.

Map protocol, pharmacy, laboratory, data, safety and participant-facing activities at the site.

Evidence checkpoint

The site identifies prescreening, consent discussion, eligibility confirmation and enrolment as separate decisions.

What to check

  • Map protocol
  • Map site process
  • Name activity
  • Check local limit

Build a one-page control note for “Start from the real activity map”. Separate observed fact, source record, interpretation, responsible person, deadline and unresolved question.

Explain the decision to a careful reader outside the study team. Preserve identity, date, version, participant consequence, evidence, uncertainty and next action; repair any sentence that sounds more certain than the record.

Boundary: Do not add a task that the study does not perform.

Learning transfer: Process mapping supports learning.

Try it on the document

Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.

CHAPTER 2 OF 11 · Define the activities

2. Use specific verbs and bounded task labels

Back to contents

“Clinical duties” or “study procedures” cannot show what was authorised.

Write observable activities with scope, conditions and decision boundary.

Evidence checkpoint

“Collect protocol blood samples” is separate from “assess clinical significance of results.”

What to check

  • Use action verb
  • Name object
  • Name condition
  • Name boundary

Build a one-page control note for “Use specific verbs and bounded task labels”. Separate observed fact, source record, interpretation, responsible person, deadline and unresolved question.

Explain the decision to a careful reader outside the study team. Preserve identity, date, version, participant consequence, evidence, uncertainty and next action; repair any sentence that sounds more certain than the record.

Boundary: A concise label must not erase a restricted decision.

Learning transfer: Precise verbs improve composition.

Try it on the document

Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.

CHAPTER 3 OF 11 · Verify the people

3. Separate delegation from accountability

Back to contents

Assignment of work does not remove the investigator’s responsibility for oversight.

Record the delegated activity, responsible PI, supervision or escalation route and review evidence.

Evidence checkpoint

A coordinator schedules visits, while the PI retains medical and eligibility decisions required by the protocol.

What to check

  • Name delegate
  • Name PI
  • Name escalation
  • Name oversight

Build a one-page control note for “Separate delegation from accountability”. Separate observed fact, source record, interpretation, responsible person, deadline and unresolved question.

Explain the decision to a careful reader outside the study team. Preserve identity, date, version, participant consequence, evidence, uncertainty and next action; repair any sentence that sounds more certain than the record.

Boundary: A signature cannot transfer a non-delegable duty.

Learning transfer: Responsibility language supports citizenship.

Try it on the document

Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.

CHAPTER 4 OF 11 · Verify the people

4. Match each person to qualifications and role

Back to contents

Job title alone does not prove competence for a trial-specific activity.

Check education, licence where applicable, experience, protocol training, procedure training and institutional authorisation.

Evidence checkpoint

A trained phlebotomist is delegated sampling only after the site confirms current credentials and study procedure training.

What to check

  • Check qualification
  • Check licence
  • Check training
  • Check authorisation

Build a one-page control note for “Match each person to qualifications and role”. Separate observed fact, source record, interpretation, responsible person, deadline and unresolved question.

Explain the decision to a careful reader outside the study team. Preserve identity, date, version, participant consequence, evidence, uncertainty and next action; repair any sentence that sounds more certain than the record.

Boundary: The log should not display unnecessary personal information.

Learning transfer: Evidence matching supports careers.

Try it on the document

Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.

CHAPTER 5 OF 11 · Control the dates

5. Link training to the delegated activity

Back to contents

A general GCP certificate may not prepare someone for a particular device, system or participant group.

Use a training matrix that connects person, task, document version, trainer, date, assessment and refresher need.

Evidence checkpoint

A data manager completes protocol and system training before receiving entry duties.

What to check

  • Name task
  • Name version
  • Record date
  • Check competence

Build a one-page control note for “Link training to the delegated activity”. Separate observed fact, source record, interpretation, responsible person, deadline and unresolved question.

Explain the decision to a careful reader outside the study team. Preserve identity, date, version, participant consequence, evidence, uncertainty and next action; repair any sentence that sounds more certain than the record.

Boundary: Attendance does not automatically prove competence.

Learning transfer: Learning evidence supports school.

Try it on the document

Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.

CHAPTER 6 OF 11 · Control the dates

6. Control start and end dates

Back to contents

The log must answer whether authority existed when the work happened.

Record effective start, PI authorisation, suspension, end date, reason and any reactivation according to procedure.

Evidence checkpoint

A staff member’s consent duty ends before transfer to another department.

What to check

  • Check start
  • Check signature
  • Check end
  • Explain change

Build a one-page control note for “Control start and end dates”. Separate observed fact, source record, interpretation, responsible person, deadline and unresolved question.

Explain the decision to a careful reader outside the study team. Preserve identity, date, version, participant consequence, evidence, uncertainty and next action; repair any sentence that sounds more certain than the record.

Boundary: Never backdate authority to repair an earlier gap.

Learning transfer: Timeline reasoning supports history.

Try it on the document

Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.

CHAPTER 7 OF 11 · Keep oversight visible

7. Control signatures and initials

Back to contents

Signature records help attribute entries but can create privacy and fraud risks.

Use the approved signature method, protect specimens, explain electronic signatures and preserve changes.

Evidence checkpoint

The signature sheet is combined with the delegation record only where the process permits it.

What to check

  • Check method
  • Protect sample
  • Record change
  • Verify identity

Build a one-page control note for “Control signatures and initials”. Separate observed fact, source record, interpretation, responsible person, deadline and unresolved question.

Explain the decision to a careful reader outside the study team. Preserve identity, date, version, participant consequence, evidence, uncertainty and next action; repair any sentence that sounds more certain than the record.

Boundary: Do not copy another person’s signature or share an electronic account.

Learning transfer: Authenticity supports digital safety.

Try it on the document

Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.

CHAPTER 8 OF 11 · Keep oversight visible

8. Keep system access separate but aligned

Back to contents

A role on the log does not itself grant technical access, and access does not prove delegation.

Reconcile delegation with least-privilege accounts, activation dates, role profiles, training and revocation.

Evidence checkpoint

A coordinator’s randomisation access ends on the same authorised date as the delegated duty.

What to check

  • Check account
  • Check role
  • Check activation
  • Check revocation

Build a one-page control note for “Keep system access separate but aligned”. Separate observed fact, source record, interpretation, responsible person, deadline and unresolved question.

Explain the decision to a careful reader outside the study team. Preserve identity, date, version, participant consequence, evidence, uncertainty and next action; repair any sentence that sounds more certain than the record.

Boundary: Shared accounts destroy individual attribution.

Learning transfer: Cybersecurity supports workplaces.

Try it on the document

Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.

CHAPTER 9 OF 11 · Reconcile the record

9. Handle staff changes without rewriting history

Back to contents

Turnover, leave and role changes should create dated transitions, not silent edits.

Close the old entry, open the new one, document handover and identify unperformed or pending work.

Evidence checkpoint

A departing coordinator’s open queries are assigned through a dated handover.

What to check

  • Close entry
  • Open entry
  • Transfer work
  • Verify access

CHAPTER 10 OF 11 · Reconcile the record

10. Reconcile the log with actual conduct

Back to contents

A neat log can still conflict with consent forms, source notes, system audit trails and pharmacy records.

Sample real activities and compare performer, date, task, training and authority.

Evidence checkpoint

A consent form signed by a person absent from the log triggers investigation and proportionate action.

What to check

  • Sample record
  • Match person
  • Match date
  • Resolve gap

Build a one-page control note for “Reconcile the log with actual conduct”. Separate observed fact, source record, interpretation, responsible person, deadline and unresolved question.

CHAPTER 11 OF 11 · Reconcile the record

11. Review and archive as an essential record

Back to contents

Delegation is not a set-and-forget form.

Use periodic review, PI confirmation, monitoring follow-up, controlled corrections, final reconciliation and retention.

Evidence checkpoint

At close-out, every active entry has an end status and outstanding access is checked.

What to check

  • Schedule review
  • Confirm PI
  • Close actions
  • Archive record

Build a one-page control note for “Review and archive as an essential record”. Separate observed fact, source record, interpretation, responsible person, deadline and unresolved question.

Explain the decision to a careful reader outside the study team. Preserve identity, date, version, participant consequence, evidence, uncertainty and next action; repair any sentence that sounds more certain than the record.

Boundary: Retention follows the applicable sponsor, institution and regulatory requirements.

Learning transfer: Record stewardship supports lifelong learning.

Try it on the document

Write one sentence that states the evidence, one that states its limit, and one that states the next responsible action. Then test each noun, number, condition and source against the controlled document. Replace vague confidence with a traceable reason.

PARENT AND STUDENT GUIDE

How to build this kind of English before the job title arrives

Back to contents

Students do not need professional authority to practise the underlying language. They can learn to define scope, annotate conditions, compare versions, rebuild a timeline, match a number to its unit and explain uncertainty without embarrassment. Parents can ask calm questions: What decision is this document supporting? Which sentence carries the strongest claim? What would make that claim false? Which source would you open next?

Use a three-pass routine. First, map the document: title, owner, audience, date, sections and decision. Second, trace one claim from source to conclusion. Third, explain the limit and next action. This routine strengthens comprehension, science, mathematics, humanities and workplace readiness because it turns English into an evidence tool.

A student should never imitate professional authority. The useful goal is to recognise when a text needs a qualified reviewer, current rule or official decision. Knowing when to pause is part of literacy.

PRACTICE CASES

Four situations that reveal the real English decision

Back to contents

Each case turns a fluent shortcut into an evidence and responsibility problem. Explain what changed, whose choice or duty is affected and why the repaired version is safer.

Case 1: Start from the real activity map

The site identifies prescreening, consent discussion, eligibility confirmation and enrolment as separate decisions. The learner identifies the tempting shortcut, checks the controlling evidence, explains the consequence for the affected person and records the repair in complete sentences.

Record the governing source, approved version, people affected, decision authority, evidence and uncertainty. Then write the smallest conclusion that remains accurate if one rule, fact, role, date or permission changes.

Case 2: Match each person to qualifications and role

A trained phlebotomist is delegated sampling only after the site confirms current credentials and study procedure training.

Case 3: Keep system access separate but aligned

A coordinator’s randomisation access ends on the same authorised date as the delegated duty.

Case 4: Review and archive as an essential record

At close-out, every active entry has an end status and outstanding access is checked.

A parent, tutor, supervisor or peer may ask for the source and logic, but the learner should make the final evidence note in their own words.

TRANSFER LENSES

How the same English changes across five readers

Back to contents

The evidence should remain stable even when emphasis, detail and next action change with the reader.

Participant lens

Qualified people should perform authorised tasks.

Record the governing source, approved version, people affected, decision authority, evidence and uncertainty. Then write the smallest conclusion that remains accurate if one rule, fact, role, date or permission changes.

PI lens

Delegation does not remove oversight responsibility.

Record the governing source, approved version, people affected, decision authority, evidence and uncertainty. Then write the smallest conclusion that remains accurate if one rule, fact, role, date or permission changes.

Staff lens

Task boundaries, support and escalation should be clear.

Record the governing source, approved version, people affected, decision authority, evidence and uncertainty. Then write the smallest conclusion that remains accurate if one rule, fact, role, date or permission changes.

Monitor lens

Authority should match real conduct and dates.

Record the governing source, approved version, people affected, decision authority, evidence and uncertainty. Then write the smallest conclusion that remains accurate if one rule, fact, role, date or permission changes.

Security lens

Access should align with current delegated need.

Record the governing source, approved version, people affected, decision authority, evidence and uncertainty. Then write the smallest conclusion that remains accurate if one rule, fact, role, date or permission changes.

Adaptation helps only when the short version preserves identity, source, status, rights, evidence, uncertainty and boundary.

DECISION DRILL

Five evidence chains to practise slowly

Back to contents

These exercises are deliberately slower than real drafting. Rebuild the decision chain, then compress it without losing the condition that controls the outcome.

Use specific verbs and bounded task labels

“Clinical duties” or “study procedures” cannot show what was authorised. Write observable activities with scope, conditions and decision boundary. Example: “Collect protocol blood samples” is separate from “assess clinical significance of results.” Before accepting the conclusion, test the named source, audience, scope, date, authority and exception against the controlled record.

Record the governing source, approved version, people affected, decision authority, evidence and uncertainty. Then write the smallest conclusion that remains accurate if one rule, fact, role, date or permission changes.

Separate delegation from accountability

Assignment of work does not remove the investigator’s responsibility for oversight. Record the delegated activity, responsible PI, supervision or escalation route and review evidence. Example: A coordinator schedules visits, while the PI retains medical and eligibility decisions required by the protocol. Before accepting the conclusion, test the named source, audience, scope, date, authority and exception against the controlled record.

Record the governing source, approved version, people affected, decision authority, evidence and uncertainty. Then write the smallest conclusion that remains accurate if one rule, fact, role, date or permission changes.

Link training to the delegated activity

A general GCP certificate may not prepare someone for a particular device, system or participant group. Use a training matrix that connects person, task, document version, trainer, date, assessment and refresher need. Example: A data manager completes protocol and system training before receiving entry duties.

Control signatures and initials

Signature records help attribute entries but can create privacy and fraud risks. Use the approved signature method, protect specimens, explain electronic signatures and preserve changes. Example: The signature sheet is combined with the delegation record only where the process permits it.

Reconcile the log with actual conduct

A neat log can still conflict with consent forms, source notes, system audit trails and pharmacy records. Sample real activities and compare performer, date, task, training and authority. Example: A consent form signed by a person absent from the log triggers investigation and proportionate action.

Repeat the drill after a source, participant need, person, risk, permission, version or timetable changes. The revised note should show exactly why the earlier conclusion was retained or replaced.

CLOSE-READING LAB

Four tests for fluent wording that may still hide a gap

Back to contents

A polished line can conceal a missing rule, identifier, comparison, version, right, permission or condition. Run these tests before relying on fluency.

Activity test

Replace broad task labels with observable actions and decision boundaries.

Record the governing source, approved version, people affected, decision authority, evidence and uncertainty. Then write the smallest conclusion that remains accurate if one rule, fact, role, date or permission changes.

Qualification test

Match each task to licence, experience, protocol training, procedure training and authorisation.

Record the governing source, approved version, people affected, decision authority, evidence and uncertainty. Then write the smallest conclusion that remains accurate if one rule, fact, role, date or permission changes.

Date test

Check that delegation, signatures, system access and actual conduct align on the day.

Record the governing source, approved version, people affected, decision authority, evidence and uncertainty. Then write the smallest conclusion that remains accurate if one rule, fact, role, date or permission changes.

Oversight test

Show retained PI responsibility, escalation, review and reconciliation.

Record the governing source, approved version, people affected, decision authority, evidence and uncertainty. Then write the smallest conclusion that remains accurate if one rule, fact, role, date or permission changes.

Keep the failed version beside the repair. The contrast shows exactly where language outran the approved record.

TWELVE-QUESTION CHECK

Pause before you report, release, delegate or close

Back to contents

Answer each prompt in a complete sentence tied to a current instruction, approved version, dated source, observation or authorised clarification. Write “unknown” where the record does not support an answer.

  1. Map protocol? Record the evidence and the conclusion it permits.
  2. Map site process? Record the evidence and the conclusion it permits.
  3. Name activity? Record the evidence and the conclusion it permits.
  4. Check local limit? Record the evidence and the conclusion it permits.
  5. Use action verb? Record the evidence and the conclusion it permits.
  6. Name object? Record the evidence and the conclusion it permits.
  7. Name condition? Record the evidence and the conclusion it permits.
  8. Name boundary? Record the evidence and the conclusion it permits.
  9. Name delegate? Record the evidence and the conclusion it permits.
  10. Name PI? Record the evidence and the conclusion it permits.
  11. Name escalation? Record the evidence and the conclusion it permits.
  12. Name oversight? Record the evidence and the conclusion it permits.

Independent-reader test

Give the working note to a careful reader who was not present. Ask them to identify the study, audience, source, approved version, reasoning, authority, uncertainty and next action without extra explanation. Repair a missing link rather than adding decorative formality.

Change test

Imagine that the protocol, participant need, investigator, platform or approval condition changes tomorrow. Mark every sentence that would need revision. This makes cycle-sensitive claims visible and prevents an old note from controlling a new decision.

Decision log

Keep the instruction consulted, date, choice, responsible person and reason. Add rejected alternatives when they may be revisited. A collaborator or future student can then distinguish a documented requirement from a stylistic preference.

Parent or mentor conversation

Ask three calm questions: Which words carry the strongest claim? What evidence controls those words? What condition would make you revise the conclusion? The goal is accountable curiosity, not supplying a ready-made answer.

FREQUENTLY ASKED QUESTIONS

Questions readers often ask

Back to contents

What is a research delegation log?

It records which qualified persons the investigator has authorised to perform specified study activities during defined periods.

Does delegation transfer PI responsibility?

No. The investigator retains overall responsibility for activities under their oversight.

Is training the same as delegation?

No. Training supports readiness; the authorised delegation and its effective date are separate evidence.

Can one broad task cover everything?

Only if the approved process genuinely defines it that way without hiding different qualifications or decisions.

Can an entry be backdated?

Do not create retrospective authority. Follow the correction and noncompliance process for a late or missing record.

When should access be removed?

When the authorised role no longer requires it, according to the controlled process and documented date.
