WHY ENGLISH?
Describe real work, fair requirements and decision authority so applicants, employees and managers can understand the same role
A job description explains why a role exists, what outcomes it supports, which duties recur, what decisions it can make and which skills or conditions are genuinely required. English matters because vague role language creates mismatched expectations, unfair criteria and invisible work long before recruitment begins.
TAFEP's current Tripartite Guidelines on Fair Employment Practices say selection criteria in job advertisements should relate to candidates' qualifications, skills, knowledge and experience. Current Skills Framework resources describe occupations, job roles, career pathways and required skills across sectors. A job description can draw on these sources, but it must still reflect the organisation's actual work.
This article uses a fictional learning-support coordinator role. It is not an employment contract, legal classification, salary decision, performance finding or universal template. Employers should check current Singapore requirements and authorised human-resources advice before using a description in recruitment or employment decisions.

ORIENTATION
What this guide covers
Current fact check
Checked on 8 November 2026, TAFEP current guidance stated that job-advertisement selection criteria should relate to qualifications, skills, knowledge and experience, and gave the example of stating a genuine physical requirement rather than an age preference. Skills Framework resources continued to map occupations, job roles and skills by sector. The article distinguishes a job description from an advertisement and employment contract.
What this guide does not cover
This article owns the reader task of drafting and maintaining a job description. It does not own the job advertisement, employment contract, compensation structure, performance plan, organisational chart, capability framework, disciplinary process, immigration decision or legal classification.
Worked example
Every chapter returns to a fictional education organisation defining a learning-support coordinator who schedules workshops, prepares materials and helps participants access services. It is fictional, low-stakes and educational; it does not report a real school, clinical decision or guaranteed outcome.
Did You Know? For a job description, precise writing makes appraisal possible but does not perform the appraisal, remove bias or guarantee transfer.
Warm up with eduKate’s guides to explaining scientific evidence and asking better questions in class.
CHAPTER 1 OF 12
1. State Why the Role Exists
Why this move matters
Write one outcome-focused purpose linked to users, team and organisational need.
Did You Know? Purpose lets later duties be tested for relevance.
Describe work before describing a person
Write one outcome-focused purpose linked to users, team and organisational need. In the fictional organisation, The coordinator helps participants reach scheduled learning support reliably. Start with purpose, outcomes and recurring decisions so the role is not merely a list of inherited tasks.
Separate essential evidence from preferences
Link each qualification, skill or condition to work that genuinely requires it. Apply this fairness boundary: A purpose is not a slogan or complete task list.
Make responsibility visible
State authority, relationships, resources, measures and escalation around The coordinator helps participants reach scheduled learning support reliably.. Readers should see what the role owns, contributes to and does not decide.
Keep the description alive
Review after work, technology or organisational change. A purpose is not a slogan or complete task list. Version changes and explain them rather than silently stretching the role.
Practical reader check
- Evidence: Write one outcome-focused purpose linked to users, team and organisational need.
- Boundary: A purpose is not a slogan or complete task list.
- Application: The coordinator helps participants reach scheduled learning support reliably. Name the next output and how it will be checked.
Student, parent and career transfer
Practise “State Why the Role Exists” by separating observation, interpretation, decision and next action. A parent or teacher can ask what evidence supports the sentence and which missing fact could change it. This discipline transfers to human resources, education operations, recruitment, workforce planning, management, job evaluation, career guidance and organisational design without guaranteeing selection, grades, publication or employment.
CHAPTER 2 OF 12
2. Describe the Role Context
Why this move matters
Name service, users, location, work pattern, reporting line and key interfaces.
Did You Know? The same title can describe very different work.
Describe work before describing a person
Name service, users, location, work pattern, reporting line and key interfaces. In the fictional organisation, The role works with tutors, administrators, learners and caregivers across onsite and online sessions. Start with purpose, outcomes and recurring decisions so the role is not merely a list of inherited tasks.
Separate essential evidence from preferences
Link each qualification, skill or condition to work that genuinely requires it. Apply this fairness boundary: Context should reflect actual arrangements and not hide material conditions.

CHAPTER 3 OF 12
3. Define Outcomes Before Activities
Why this move matters
Identify the results the role influences and how success is observed.
Did You Know? Outcome language prevents busywork from becoming the definition of value.
Describe work before describing a person

In the fictional organisation, Workshops start with accurate materials, accessible participant information and resolved schedule issues. Start with purpose, outcomes and recurring decisions so the role is not merely a list of inherited tasks.

CHAPTER 4 OF 12
4. Write Duties With Clear Verbs and Boundaries
Why this move matters
Use observable verbs, frequency, object, purpose and important limits.
Did You Know? A duty becomes usable when another person can recognise completion.
Describe work before describing a person

7. Specify Essential Knowledge, Skills and Experience
Why this move matters

In the fictional organisation, Clear written communication is essential because the role issues schedule changes; the local booking tool can be learned. Start with purpose, outcomes and recurring decisions so the role is not merely a list of inherited tasks.

PRACTICE LAB
Build a job description decision trail
Student route
- Choose one original report inside this guide’s scope.
- Copy its objective and underline actor, action, context, evidence and intended decision.
- Draw the specific reasoning chain used in this article.
- Mark each step reported, inferred, contested or unknown.
- Rewrite the conclusion so it preserves the narrowest important limitation.
Parent or teacher route
Ask the learner to explain describe real work, fair requirements and decision authority so applicants, employees and managers can understand the same role twice: once to a classmate and once to a method specialist. Praise a precise correction and a well-stated unknown; both show disciplined attention to evidence.
Early-career route
Create a one-page job description audit with source link, date checked, scope, method logic, decisive wording, contrary evidence, limit and next action. A colleague should be able to continue without guessing.
Decision rule
If a shorter explanation removes the condition that made the original claim true, it is not clearer yet. Restore the condition.

USEFUL NEXT READING
Connect this narrow owner to its neighbour
Read the job-offer-letter guide for a related but different reader job. Return here when the question is specifically how to describe real work, fair requirements and decision authority so applicants, employees and managers can understand the same role. Use each guide for the reader task named in its heading.

Can it say other duties as assigned?
If used, limit it by role purpose, capability, safety, authority and applicable terms.
Who should review it?
The manager, role holder where available, HR and authorised approver.
How often should it change?
On a real cadence and whenever work, authority, conditions or risk changes materially.

A cheerful final note
Precise English makes describe real work, fair requirements and decision authority so applicants, employees and managers can understand the same role more generous, not less. People can see how their evidence and values entered the work, where disagreement remains and what a responsible next step looks like.
