It begins with a model.
Who is receiving this?
What do they already know?
What do they need to do next?
What will they misread if the writer assumes too much?
What will bore, insult or overload them if the writer explains too much?
Audience is not a demographic label. It is a working hypothesis about another mind.
The shortest useful definition
Audience Model Calibration is the process of estimating a receiver’s prior knowledge, goals, authority, attention, emotional state, processing capacity, risk exposure and likely misconceptions, then adjusting language so the intended meaning remains recoverable without unnecessary simplification or overload.

1. Audience is a model, not a label
“Parents,” “students,” “professionals” and “the public” are too broad to determine a useful register.
A parent reading a first school newsletter and a parent reading a disciplinary notice are not in the same information state.

The audience model must include the current task.
2. Prior knowledge is the first major variable
If a reader already knows the system, explanation can compress.

- mechanisms the audience understands
- assumptions the audience shares
- procedures the audience can execute

A student may recognise the word photosynthesis and still be unable to explain what is transformed, where the process occurs or why light matters.
A manager may know the phrase statistical significance and still misread it as practical importance.
Audience calibration must model usable knowledge, not familiar vocabulary alone.

- Ask what must be known immediately before that is possible.
- Ask what prior knowledge the receiver can safely be assumed to have.
- Find every specialist term that carries hidden structure.
- Expand only those terms whose structure is required for the task.
- Remove detail that does not change understanding, decision or safe action.
- Check whether any simplification strengthened or distorted the claim.
- Check whether a reasonable reader can recover the intended route without extra insider knowledge.
38. Rotate one educational explanation
Concept:
Retrieval practice strengthens later access to learned material when learners attempt to recall before checking the answer.
- Primary learner: “Try to remember the answer before you look. The effort of pulling it out helps you find it more easily later.”
- Parent: “Instead of rereading the notes, ask your child to retrieve the idea first, then check and correct.”
- Teacher: “Use low-stakes retrieval with feedback and spacing so recall attempts become a learning event rather than a grading event.”
- Research discussion: distinguish retrieval success, feedback, spacing, retention interval and transfer outcome.
Each version should preserve the same causal caution and mechanism.
39. Common failure modes
- Demographic shortcut: age or job title is used as a substitute for actual knowledge state.
- Expertise inflation: writer assumes familiarity because a term appears common.
- Patronising simplification: necessary distinctions are removed because the audience is labelled “general”.
- Jargon dumping: technical labels are supplied without the model needed to decode them.
- Purpose blindness: explanation is accurate but does not support the receiver’s next task.
- Decision overload: every detail is presented to a reader who needs only the decision-relevant subset.
- Truth drift: message changes to become emotionally acceptable rather than merely understandable.
- Authority confusion: expert detail is sent to the decision-maker without a usable action layer.
- No repair sensor: communicator cannot tell whether the audience actually understood.
40. Repair route
- Name the exact audience in the current situation.
- Estimate what they know and what they merely recognise.
- State what they need to understand or do next.
- Identify high-risk misconceptions.
- Choose the minimum technical vocabulary that preserves distinctions.
- Define unfamiliar but load-bearing terms.
- Stage dense reasoning across manageable steps.
- Put decision-critical information where attention will reach it.
- Preserve uncertainty and boundary conditions.
- Add a question, confirmation or other repair path where possible.
- Update the audience model from actual response rather than stereotype.
41. Why this matters for Singapore English learners
Situational writing makes audience explicit, but the skill is much larger than an examination format.
Students need to move from explaining to a classmate, to writing for a teacher, to addressing an institution, to briefing a future colleague, to communicating with people outside their field.
The mature skill is not memorising one tone for each format. It is building and updating a usable model of the receiver.
