How Museum Works | The Number on the Object Keeps Identity Attached to Matter

Museum object numbering, accession numbers, object marking and collection labelling solve one of the least glamorous and most important problems in collections management: how to keep a physical object connected to the correct museum record for decades or centuries. A catalogue can contain provenance, maker, date, acquisition history, condition, rights, location and research, but all of that knowledge becomes fragile if staff cannot prove which physical thing the record describes. The museum therefore needs a durable, legible and conservation-safe bridge between matter and information.

Accession numbers, museum object IDs, collections documentation, inventory control, cataloguing, object labels, marking methods, registration and dissociation prevention all converge on a deceptively simple question: how does the museum know that this object is this record? The answer changes with material. A paper archive can accept one identification method; a textile, archaeological sherd, polished metal object, wet specimen, digital carrier, jewellery item or fragile painted surface may require another. Good marking must be secure enough to survive ordinary collection life while avoiding unnecessary intervention in the object itself.

For registrars, collection managers, conservators, curators, students and readers learning how museums work, physical identification is the return path from database to reality. Accessioning establishes formal status. Cataloguing builds knowledge. Inventory records location. Audit tests whether records remain accurate.
