Lost Your GCE Exam Entry Proof? How to Get a Replacement

Three learners review open books together at a classroom table, with stacks of textbooks, stationery and a whiteboard in the bright room.

If you lose your GCE exam entry proof, ask your school for a replacement if you are a school candidate. If you are a private candidate, sign in to SEAB’s Candidates Portal and download the entry proof when it is available. Print a fresh copy and check the reporting time, paper and centre for the examination you are about to sit.

If the exam is imminent and you cannot retrieve or print the document, contact your school or SEAB promptly for instructions. If you are already at the assigned centre, report to examination personnel and explain what is missing. Keep the required photo identification ready and follow the centre’s verification instructions.

  • School candidate: contact your school for the replacement.
  • Private candidate: retrieve and print the official entry proof from the Candidates Portal.
  • Match the centre, paper and reporting time to the specific component you are attending.
  • Keep your required identity document and relevant approval or schedule with the printout.

Find the correct version

The entry proof is personalised. A public examination calendar can help you see the overall timetable, while your own proof identifies what you are registered for and where you are assigned. If you have several downloads or photographs, check that the copy you print is the official version for the correct examination year and sitting.

Read the document before leaving for the centre. Look for your name, centre or index number, subject and paper, date, reporting time and venue. If a venue name looks unfamiliar, confirm it using the instructions from SEAB or your school. Some candidates may sit different types of components at different locations.

If your paper is a Science practical

Check for the separate practical schedule and the official notification of the assigned venue and shift. SEAB’s private-candidate guidance says candidates receive those details by email at least seven days before their Science practical and should contact SEAB if the schedule has not arrived by that point. Use the specific notice for the session you are attending.

Worked example | One student loses the printed copy

Siti is a private candidate who printed her entry proof when it first became available. The evening before her written paper she realises it is missing. She opens the official Candidates Portal, downloads the personalised document again and checks that the correct written paper appears. Then she prints the proof and pairs it with her matching photo ID.

She also has a Science practical later in the week. She puts the relevant practical notice next to the entry proof and checks the practical venue separately. She now has the documents for both days and has caught a difference between the written and practical reporting arrangements.

If you discover the loss on the way

Check how much time you have before reporting. Contact the school or centre if obtaining a replacement could affect your arrival. State the paper, your assigned centre and whether you still have your identity document. Follow the official instructions you receive. If you reach the centre before resolving the problem, speak to examination staff as soon as you arrive.

What to bring for verification

For GCE private candidates, SEAB’s checklist specifies a hardcopy entry proof, photo identification with the number on the entry proof and a copy of an approved access arrangement where applicable. It lists examples of accepted photo identification, such as an NRIC, passport or printed copy of a Digital Student Pass. Follow the applicable rules for your candidate type and paper.

A screenshot on a phone can help you retrieve information while travelling. Plan to bring the printed document the rules require, and comply with the centre’s restrictions on electronic devices. A backup printed copy in a separate folder can save time if the original is damaged or misplaced.
