How to Check Secondary English Situational Writing Before Submission

The final check should not reread every sentence with equal attention. Use a risk order: first check whether the response does the required job, then whether the language delivers that job clearly.

The 90-second check

  • Task: Can I point to every required content item?
  • Audience: Is the relationship with the reader appropriate throughout?
  • Purpose: Is the requested action, recommendation or explanation unmistakable?
  • Register: Are directness, politeness and vocabulary appropriate?
  • Clarity: Are names, dates, places, times and references unambiguous?
  • Language: Check high-risk grammar and punctuation.

Check content before commas

A perfectly punctuated response that omits a required reason cannot be rescued by proofreading. Confirm task fulfilment first.

The reader simulation

Pretend you are the recipient and know only what the task says you know. Could you answer: Why am I receiving this? What happened or is proposed? What am I expected to do? When and where does it matter?

Worked final-check repair

Draft: “Please reply soon because we need to know. The event is next Friday at the hall.”

The recipient may not know what must be confirmed or which hall is meant. Repair: “Could you please confirm by Tuesday whether you can attend the rehearsal next Friday, 18 September, at the school hall?”

Proofread by error family

Instead of reading vaguely for “mistakes”, run short passes: verb tense and agreement; sentence boundaries; pronouns; spelling of task-specific names; punctuation around clauses. Focused checks catch more than one unfocused reread.

Do not rewrite everything at the end

Late wholesale rewriting creates new errors. Repair only what has a clear reason: missing content, ambiguity, register mismatch, grammar failure or unnecessary wording.

Final submission question

If the real recipient received this message now, could they understand it and act correctly without asking me to clarify something I was supposed to provide?

If the answer is yes, the communication system is probably intact.
