Prinsip Perakaunan and Malaysia Haze | Journals, Cash Book, Trial Balance and Business Budgets

Three students in school uniforms work through open books at a classroom table, with textbooks and stationery nearby and study notes on the whiteboard behind them.

Prinsip Perakaunan and Malaysia haze: the answer first

Haze may change a Malaysian business’s purchases, sales, payroll or customer refunds, but it does not change double-entry bookkeeping. The accountant records verified transactions and obligations, not assumptions based on a smoky skyline. A restaurant can purchase suitable filtration, while an outdoor tour may be postponed and a contractor may temporarily reassign workers; each creates a different financial question.

This guide uses a fictional Malaysian café to demonstrate journals, ledger accounts, a trial balance, cash flow, inventory and cost planning with original RM examples. These are educational exercises rather than professional accounting, legal, insurance or tax advice. For current pollution use Malaysia DOE APIMS.

Quick facts before starting

  • Every complete double-entry has equal total debits and credits.
  • Assets = Liabilities + Equity under the simplified entity equation.
  • An API index value is not money, an invoice or a medical diagnosis.
  • Durable equipment and a consumable filter may be treated differently.
  • Revenue earned and cash received are not always the same.
  • An insurer does not automatically pay because haze arrives.
  • A budget is a plan; financial accounts report actual recognised events.
  • Keep every source document, date, assumption and account classification.

Set up a believable Malaysian business

Consider a wholly fictional family café in George Town named Kedai Pagi Jernih. It normally serves customers outdoors, but smoke prompts the manager to offer takeaway and inspect indoor conditions. The owner buys one appliance, incurs cleaning costs and reviews refund requests.

A fictional example permits students to practise accounting without inventing actual sales figures for a real Malaysian business. A real assessment would require its own receipts, invoices, employee agreements and booking terms.

What the accounting equation describes

Assets include cash and qualifying equipment; liabilities include amounts owed; equity is the residual owner’s interest. The basic relationship is Assets = Liabilities + Equity. It does not depend on whether the business operates during a smoky week.

When cash is exchanged for durable equipment, total assets may remain unchanged while their composition changes. When an expense is incurred, equity can decrease under simplified reporting.

Where the evidence comes from

A supplier invoice records a potential purchase or payable; a receipt or bank record supports a cash payment; a credit note documents an adjustment; and a contract can establish whether a customer is owed a refund.

An APIMS screenshot is useful environmental context but is not proof of a purchase, a debtor balance, a lost sale or insurance coverage. Match each entry to the appropriate business document.

Debit versus credit

Debits and credits are ledger directions rather than labels for good and bad business news. Under familiar bookkeeping conventions, many increases in assets and expenses are debits while increases in liabilities, revenue and owner’s equity are credits.

The paired entries express the transaction. A well-written journal names both accounts, includes the amount and, where appropriate, provides a short narrative referencing the supporting document.

Worked entry: purchase of filtration equipment

Fictional purchase: A business pays RM900 cash for equipment assumed to meet its asset-recognition policy. Journalise Debit Equipment RM900; Credit Cash RM900. Cash decreases, equipment increases, and the debits and credits balance.

Actual recognition and depreciation depend on useful life, materiality and the applicable reporting standards. The entry is not a promise that the entire RM900 may be deducted immediately for tax.

Worked entry: cleaning supplies

Fictional purchase: RM85 of cleaning supplies is acquired and consumed immediately. Under the stated simplifying assumption, record Debit Cleaning Expense RM85; Credit Cash RM85.

This differs from purchasing a durable machine. The student’s job is to explain why a consumable can affect current expenses, and to recognise that unused supplies may be accounted for differently.

Worked entry: an unpaid filter invoice

A replacement filter costing RM150 is received on credit and assumed used in the current period. Under accrual accounting, record Debit Filter Expense RM150; Credit Accounts Payable RM150. No cash has yet left.

When the supplier is paid in the next period, debit the payable and credit cash. Do not recognise the same expense again merely because the payment finally occurred.

Worked entry: a verified booking refund

Hypothetical tourist service: A customer becomes entitled to a RM300 refund under the actual booking terms and prior recorded sale. A simplified immediate reversal might debit a sales return/revenue adjustment RM300 and credit cash RM300.

If the original money was an advance liability or refund was first recorded as payable, the correct entries may differ. A postponed itinerary is not automatically proof of a refund obligation.

Wages during a change of duties

An employer may move outdoor workers to suitable indoor tasks according to the risk assessment while keeping ordinary pay unchanged. The reassignment alone is not an extra wage expense equal to the already recognised salary.

Payroll remains subject to real employment terms and law. The DOSH 2026 haze guidance is relevant to safety, but an accountant must not duplicate labour expenses because of a schedule change.

Cash-book reconciliation

Invented cash flow: Opening cash RM3,000 plus sales receipts RM1,750 less equipment RM900, cleaning RM85 and other cash expenses RM200 gives RM3,565 ending cash.

The figure is a cash balance, not a full profit calculation. It ignores any unprovided credit sales or payables and includes an asset purchase. Compare cash-book transactions with bank and till records.

A correctly balanced mini trial balance

Teaching accounts: Cash debit RM3,565; Equipment debit RM900; Cleaning Expense debit RM85; Other Expense debit RM200; Sales Revenue credit RM1,750; Capital credit RM3,000. Debit and credit totals are each RM4,750.

These balances illustrate numerical equality under a simplified opening scenario. A balanced trial balance does not necessarily confirm that every purchase was appropriately classified or every document included.

Why a balanced trial balance can still mislead

Recording Equipment as Cleaning Expense for the same RM900 amount could leave trial-balance totals equal while misclassifying the transaction. Similarly, an omitted entry can sometimes leave the remaining accounts numerically balanced.

Accounting quality combines source checking, classification, timeliness and reconciliation. Do not regard a matching total as evidence that every decision or journal is substantively correct.

What is depreciation?

Depreciation allocates the depreciable amount of a qualifying long-lived asset across its estimated useful life under an adopted method. An equipment purchase and later depreciation charge are distinct accounting events.

Hypothetical straight-line: RM900 equipment, zero assumed residual value, three-year estimated life: RM900 ÷ 3 = RM300 annual depreciation. This is not a tax capital-allowance ruling.

The invoice and payment can fall in different months

A business may recognise a genuine expense and payable when the supplied goods or service qualifies under the assumed accrual basis, yet pay later. Conversely, a prepaid future service may be an asset until used.

That explains why a financial statement and cash book can tell related but different stories. Timing should follow the transaction and applicable policies rather than the haze news cycle.

Revenue is not simply the amount of deposits

A customer may deposit RM500 for an event scheduled next month. Depending on the contract and reporting framework, the sum can initially be an advance liability rather than earned revenue.

If the activity is delayed, the accountant reviews what has been delivered and what rights customers possess. Neither ‘the customer paid’ nor ‘haze appeared’ settles the revenue recognition question alone.

Inventory losses require actual evidence

A trader might have fresh stock that remains safe and saleable despite regional haze, or stock genuinely damaged by a verified refrigeration failure. Inventory accounting responds to measured condition and relevant recoverable value, not a nationwide screenshot.

Fictional verified loss: RM80 of stock is unusable with no recoverable value. A simplified adjustment debits Inventory Loss RM80 and credits Inventory RM80. Without real loss evidence, inventing that entry would be misleading.

Receivables and slower collection

Customers may pay later because of operational disruption, leaving outstanding trade receivables. Delayed payment is not automatically an irrecoverable debt; credit terms, ageing and evidence must be considered.

A business with high recorded revenue can still face immediate cash pressure when customers do not settle invoices. This difference supports realistic working-capital planning.

No automatic insurance receivable

A business-interruption policy may have specific triggers, exclusions and proof requirements. An Unhealthy API does not universally establish that an insured event occurred or that an insurer approved payment.

Student journals must not recognise a guaranteed claim purely because the business suffered an uncertain disruption. For real cases, consult policy wording, insurer communication and qualified advice.

Calculating gross profit

Fictional week: Sales RM4,000 and cost of goods sold RM2,400 produce gross profit of RM1,600. The gross-profit margin is RM1,600 ÷ RM4,000 × 100 = 40%.

If cleaning RM100 is treated as an operating expense under the example’s classification, it does not need to be subtracted when gross profit is computed. Consistency of account categories matters.

Calculating operating profit

Continue the invented week with gross profit RM1,600, wages RM650, rent RM500 and cleaning RM100. Simplified operating profit is RM350.

Other possible amounts such as tax, financing or additional expenses are omitted by design. The calculation demonstrates the method and assumptions, not the earnings of any real Malaysian café.

Contribution margin and break-even

Hypothetical stall: Fixed costs RM1,200, price per order RM50, variable cost per order RM20. Contribution is RM30, so simple break-even is RM1,200 ÷ RM30 = 40 orders.

This is a planning model using constant prices and costs. It is not proof that a haze period produces exactly 40 or fewer buyers, and the model does not determine safety requirements.

Budget variance

Suppose a shop budgets RM200 for monthly cleaning and filter supplies, but spends RM260 under actual documented conditions. The variance is RM60 above plan, or 30% relative to the original budget.

A variance calls for explanation. It is not automatically evidence of waste: circumstances may have justified protective spending. Record the budget, actual invoices and management decision separately.

A reserve transfer is not necessarily an expense

The owner moves RM2,000 from one company bank account to another dedicated to emergency operations. A transfer within the same entity does not by itself consume economic resources like paying wages or buying supplies.

The balance sheet may still show total cash of the same amount, subject to actual accounts. A management label such as ‘haze reserve’ is not an automatic loss or tax deduction.

Financial impact versus opportunity cost

A café owner might choose indoor service improvements instead of a promotional campaign. The value of that forgone alternative is a potential economic opportunity cost, but not automatically a journal entry.

The Economics of Malaysia Haze guide explores externalities, while Prinsip Perakaunan teaches reliable accounting of actual events.

An illustrative weekly cash buffer

If essential outflows are RM1,500 per week and a firm sets aside RM4,500 of cash for those needs, the simplified coverage is three weeks, ignoring receipts and changes in obligations.

A real cash runway calculation needs actual inflows, fixed and variable costs, credit terms and emergency spending. A calculation is only as realistic as its assumptions.

Tax rules and financial reporting differ

Accounting depreciation, tax capital allowance, insurance treatment and professional reporting have separate rules. A classroom RM900 air-cleaner example should not be treated as a guaranteed claim against taxable income.

For actual decisions, consult the current Inland Revenue Board of Malaysia and a suitably qualified adviser. This guide deliberately avoids inventing a haze-specific tax relief.

A four-week class project

Week 1: Build source documents and the accounting equation for a fictional haze-aware enterprise. Week 2: Journalise equipment, expenses, credit purchases, payments and refunds. Week 3: Reconcile the cash book and trial balance and calculate depreciation or margins.

Week 4: Write a short management report distinguishing verified costs, scenarios, health precautions and unproven economic claims. No field exposure or smoke-generation experiment is needed.

From a journal into ledger accounts

After writing a debit and credit, post them to the appropriate ledger accounts. The Equipment ledger gains a debit RM900, and the Cash ledger reflects the corresponding credit. The ledger provides a history of changes to each account rather than one long sequence of unrelated transactions. A student should not enter RM900 again as though posting created a new economic event.

A correct workflow moves from evidence to the journal, ledger and trial balance. An actual firm also uses controls and reconciliations to verify what has been recorded. These steps form the bridge between the individual transaction and statements used for decisions.

How to read a T-account

A T-account provides a simple visual arrangement with debits on the left and credits on the right. For an asset account such as Cash, ordinary receipts are commonly debits and payments credits; the balance is determined from the total on both sides.

Suppose fictional Cash had RM3,000 opening debit, a RM1,750 sale debit, and three credits of RM900, RM85 and RM200. The debit-side total is RM4,750 and the credit-side payment total RM1,185. The remaining debit balance is RM3,565. This reproduces the cash-book result without adding a second transaction.

Bank reconciliation: identify genuine timing differences

The business cash-book balance may differ from the bank statement because of outstanding deposits, unpresented cheques, bank charges or mistakes. Reconciliation explains these differences using genuine dates and source documents; it is not a mechanism for inventing a balancing sale.

Hypothetical example: The bank statement shows RM3,600 while the cash book shows RM3,565. If a legitimate RM35 bank charge was not yet recorded in the cash book, debit Bank Charges Expense RM35 and credit Bank RM35 in the relevant record; the adjustment depends on the actual reconciliation direction and previously recorded items. Review the statement rather than assume a missing line.

Petty cash and cleaning purchases

A small café may pay for minor cleaning items through an imprest petty-cash system. Every disbursement needs a voucher and receipt. Replenishment restores the authorised fund but does not make each purchase a new expense twice.

Illustrative fund: An RM200 petty-cash balance has RM75 remaining and RM125 supported vouchers. The two amounts reconcile to RM200. Before reimbursement, check that vouchers represent legitimate business expenditure and have not also been processed through the bank ledger. This is ordinary internal control, not special haze accounting.

Payroll accrual for a completed shift

Employees can earn wages before the firm transfers the payment. Under the assumed accrual approach, an unpaid RM600 payroll obligation for completed work may be recorded as Debit Wages Expense RM600 and Credit Wages Payable RM600.

When the wages are later paid, the firm clears the payable and credits Bank. Do not record an extra RM600 expense merely because the work involved indoor rather than outdoor duties. Staff safety and legal pay requirements must be assessed separately under current Malaysian law.

Credit sales and collection entries

Fictional wholesale transaction: A company makes a valid RM500 credit sale and recognises Debit Accounts Receivable RM500, Credit Sales Revenue RM500. When the buyer pays RM500, Debit Bank RM500 and Credit Accounts Receivable RM500.

The later bank deposit is not a second RM500 sale. A haze-related delay may extend the collection period, but without a genuine change in the receivable’s recoverability it does not automatically justify a write-off. Students should trace the source invoice and receipt.

Current assets, liabilities and working capital

Working capital is commonly described as Current Assets minus Current Liabilities. It gives a simplified snapshot of short-term resource coverage, subject to the nature and quality of those items.

Hypothetical business: Cash RM3,000, receivables RM2,000, inventory RM1,000 and current payables RM2,500. Current assets total RM6,000 and working capital is RM3,500. This does not mean all RM3,500 is immediately available cash, since inventory and debtors might take time to convert.

Current ratio: simple calculation and limitation

The current ratio compares Current Assets with Current Liabilities. With RM6,000 current assets and RM2,500 liabilities, the ratio is 6,000 ÷ 2,500 = 2.4 times.

A ratio above one is not a guarantee that an enterprise can survive a lengthy disruption. The speed of collecting receivables, liquidity of stock, timing of wages and ongoing contracts matter. A small company should use current cash forecasts alongside an accounting ratio, not select just the most reassuring number.

Why a customer queue is not recorded sales

A restaurant might see a long line of customers waiting indoors after an outdoor market moves operations. The queue suggests possible demand, but no accounting sale is established until the relevant transaction and recognition criteria occur.

Using queue length to predict a fictional revenue value creates misleading books. Marketing estimates and demand forecasts belong in a planning worksheet, with assumptions and error ranges. The accounting journal records the actual transactions. This distinction is particularly useful when sudden environmental changes affect consumer choices.

How to account for discounts and price changes

If a business offers a genuine discount, its accounting depends on what was actually invoiced and collected. An advertised ‘10% haze-week promotion’ is not an expense if no customer uses it. Discounts and returns should be recorded consistently under the chosen policy.

Fictional arithmetic: An item has a listed price RM80 and a valid 10% discount. The price after discount is RM72, assuming no other charges. The RM8 reduction is a commercial price effect; do not automatically book an additional RM8 expense on top of already recorded net revenue.

Purchasing decisions need more than the cheapest upfront price

Two compatible particle cleaners may have different purchase prices, replacement-filter intervals, energy requirements and expected usable lives. Accounting records actual acquisition and recurring expenses, while management compares total cost of ownership.

Invented scenarios: Unit A costs RM500 with RM100 annual maintenance; Unit B costs RM650 with RM45 annual maintenance. Ignoring financing, depreciation and residual value, three-year simple cash costs are RM800 for A and RM785 for B. Neither calculation proves B filters better or that either is technically appropriate for a specific room.

A contract cancellation and a postponement differ

An event may be postponed rather than cancelled. The customer might accept a new date, request a refund under applicable terms or remain entitled to a future service. Those decisions can change whether the company holds cash, a contract liability or a payable.

A precise accounting exercise should identify the original advance, the delivered service and verified contractual outcome. It should not automatically reverse all revenue or issue cash from the till because news headlines describe elevated API somewhere in Malaysia.

Internal controls protect cash when operations change

When staff switch from ordinary counter sales to online takeaway, the business should maintain basic controls: approved refunds, consistent receipts, payment reconciliations and segregation of responsibilities where feasible.

A haze-related rush is an especially poor reason to abandon checking procedures. Mistakes or fraudulent entries can arise when the same person approves refunds and deletes sale records without review. The student can propose simple checks that fit a small family enterprise without claiming a large corporate audit system is compulsory.

What a short financial note to the owner should contain

A useful one-page note names actual recorded extra expenses, cash available, outstanding supplier obligations and any genuine changes in confirmed sales or customer refunds. It should distinguish transactions from possible future scenarios and describe the assumptions used in break-even or budget calculations.

For example, it may report ‘RM85 cleaning materials purchased on this date’ rather than ‘haze caused a nationwide 20% revenue fall’. Health, school and workplace actions must refer to the appropriate current authorities rather than being invented inside a finance report.

Educational integrity: interpret a case without pretending causation

A student’s final case study should attach a period, entity, documents, recorded amounts and limitations. A reduction in restaurant receipts during a smoky week could be related to haze, rain, holidays, stock availability or customer preferences. A comparison needs suitable evidence.

Prinsip Perakaunan teaches rigorous record-keeping. Economics and public policy examine wider causation and externalities. The strongest response uses accounting evidence for what it can establish and avoids using book entries to name the source of a fire or predict medical outcomes.

Thirty practical accounting questions

Does haze change double entry?

No. Total debits must still equal total credits for an appropriately recorded transaction.

Is API a ringgit figure?

No. Malaysia API is an environmental index, not a financial amount or a supplier invoice.

Can predicted lost sales be journalised?

Do not recognise a fictional loss merely because a forecast says customers may stay home.

Is a purifier purchase always an expense?

Not necessarily. Asset treatment and materiality depend on the relevant accounting policy.

Can an unpaid invoice create an expense?

Under suitable accrual assumptions, a current expense and payable may be recognised before cash leaves.

What happens on payment of a recorded payable?

Debit the payable and credit cash under the basic journal example, without duplicating the expense.

Is a refund automatic when smoke arrives?

No. Confirm the service, booking terms, earlier entries and customer’s rights.

Does a deposit equal earned revenue?

Not always. Future performance obligations may result in an advance liability.

Are debits losses?

No. Debit and credit describe account sides, with their meaning depending on account type.

Does an asset purchase immediately reduce profit by its full cost?

Not automatically; appropriate recognition and depreciation differ from cash movement.

What is straight-line depreciation?

Allocating the depreciable amount evenly over a defined useful life under the stated assumptions.

Does a trial balance prove the records perfect?

No. Omissions and misclassification can leave numerical debit and credit totals equal.

Can stock be written down from a haze photo?

No. Document the actual loss, condition and valuation.

Is an insurance claim always collectible?

No. Contract terms, exclusions, evidence and claims status matter.

Is cash flow the same as profit?

No. The timing of receipts, payments, expenses and assets can differ.

What is gross profit?

Revenue less cost of goods sold under the same accounting classification.

How is gross-profit margin calculated?

Divide gross profit by revenue and multiply by 100 for the percentage.

What is contribution per order?

Selling price minus variable cost per order in the simplified model.

How is break-even order quantity estimated?

Divide fixed costs by contribution per order under linear assumptions.

Does over-budget spending imply mismanagement?

Not by itself. Review actual circumstances and the purpose of the purchase.

Is an emergency cash reserve an expense?

Moving cash between a firm’s own accounts is ordinarily not an operating expense.

Does a delayed payment always mean a bad debt?

No. Assess credit terms and genuine impairment evidence.

What documents support a supplier expense?

Invoices, delivery confirmations and other relevant evidence depending on the transaction.

Can we add RM expenses to API points?

No. They have different meanings and units.

Does a single café show Malaysia GDP loss?

No. One entity’s records do not establish an economy-wide causal estimate.

Is accounting depreciation a tax allowance?

Not necessarily. Tax rules and financial reporting have distinct methods.

Should staff safety depend on gross margin?

No. Relevant safety obligations apply irrespective of an accounting target.

Can a student use made-up ringgit examples?

Yes, for clearly labelled teaching purposes, never as real 2026 business data.

Where is official live Malaysian air quality?

The Department of Environment APIMS portal and corresponding public guidance.

Is this an official Prinsip Perakaunan SPM paper?

No. It is an original applied study of foundational bookkeeping concepts.
